Privacy Policy

What we process, why and for how long

Vaeniko processes your personal data as follows.

• Orders and quote requests — name, company, phone, email, billing and delivery address, tax number, order content. Purpose: fulfilling the order and staying in contact. Legal basis: performance of a contract (GDPR Art. 6(1)(b)). Accounting records are kept for 8 years (Hungarian Accounting Act §169, Art. 6(1)(c)); other data for 5 years after the contract ends.
• Customer account and sign-in — email, the company linked to the account. Basis: contract. Until the account is closed.
• Newsletter — email. Basis: your consent (Art. 6(1)(a)). Until you unsubscribe; consent can be withdrawn at any time.
• Job applications — name, phone, email, experience, note. Basis: consent. Deleted after 6 months; moved to the personnel file if hired.
• Security logging — IP address to protect against overload and abuse. Basis: legitimate interest (Art. 6(1)(f)). 7 days.
• Visitor statistics — only if you allow it in the cookie bar: pages and products viewed, a random visitor ID, country, device type. No name or IP address, never shared with third parties. Basis: consent (Art. 6(1)(a)). 13 months; withdraw any time via "Cookie settings" in the footer.

Back-in-stock notifications

If you choose "Notify me" on a sold-out product, we send one email about that product when it is available again. Data processed: email address, the requested product and your language; for signed-in customers the email comes from the account. Basis: your request and consent (GDPR Art. 6(1)(a)).

Retention: sent or cancelled requests are deleted after 30 days, requests still waiting after 180 days. Every notification email contains an unsubscribe link that cancels the request. The data is not used for marketing or newsletters and is not linked to visitor statistics.

Your email is stored on your device only if you tick "Remember my email on this device" in the window; sending without the tick deletes any address stored earlier.

Abandoned basket reminder

Your basket normally stays only on your device; adding products does not create any record on its own. If you enter your email address or phone number at checkout and do not complete the order, we keep the basket contents and that contact detail on our server for at most 90 days and may send you at most one reminder about that basket. Basis: legitimate interest (GDPR Art. 6(1)(f)); you may object.

The "No thanks" button under the form deletes the record immediately. The link in the reminder email permanently unsubscribes you from our basket reminders; the unsubscribe record (email address) is kept so that no further reminder is sent. If you complete the order, the record is closed.

Who receives the data (processors)

We do not sell your data. These providers act only on our behalf under contract: quik.deal (store and order platform); Supabase Inc. (database and storage, EU – Frankfurt); Vercel Inc. (website delivery); Resend Inc. (email delivery). Transfers to the USA rely on the EU–US Data Privacy Framework or standard contractual clauses. Delivery details are shared with the carrier.

Cookies and local storage

The site stores only what it strictly needs to work on your device, so no consent is required: your basket, favourites, chosen view, a session cookie when you sign in, 10-minute security cookies for Google sign-in, and — if you have several companies — the selected company until the tab is closed. For signed-in customers, favourites are also saved to the account. Your cookie choice is stored on your device too (acceptance 12 months, refusal 6 months). If you allow statistics, a random statistics ID is stored; it is deleted when you withdraw. No advertising or third-party tracking cookies are used.

Your rights

You may request a copy, correction, erasure, restriction or portability of your data, object to processing based on legitimate interest, and withdraw consent. Contact us using the contact details in the footer; we reply within one month.

You can complain to the Hungarian data protection authority (NAIH, 1055 Budapest, Falk Miksa utca 9-11., ugyfelszolgalat@naih.hu) or to a court.
